Proyecto de mejora del proceso de flujo de caja usando el sistema web ERP en una empresa de rubro de pinturas - 2017

Abstract

RESUMEN El presente proyecto nace ante la necesidad de mejorar todo el proceso de flujo de caja en la empresa de pintura 2017 es regional con presencia en otros 3 países. Su clasificación es industrial y pertenece al rubro de pinturas, productos químicos y adhesivos. El control del proceso de flujo de caja que ejecuta en la empresa de pintura - 2017, está a cargo del área de Finanzas, este proceso es llevado mediante el uso del programa Excel, en un archivo que contiene cuadros con formula. Los datos con los que diariamente se actualiza esta información, son registrados de manera manual, es decir que este trabajo es realizado por un analista en cada sede, a los cuales, les toma mucho tiempo en realizar, además como todo proceso manual, esta propenso a presentar errores que impactaran de manera negativa en el resultado de la información, por tal motivo este proceso tiene que ser revisado constantemente lo que origina mayor uso de tiempo para el colaborador. Otra desventaja de usar este método, es el riego de perdida de información, puesto que el control es llevado en un archivo simple que no emite reportes. Ya se ha presentado esta situación, y no se logró recuperar toda la información, y se corre el riesgo que pueda volver a repetirse. Ante toda esta situación hemos encontrado una oportunidad de mejora, por lo que se propone como una solución la implementación de un sistema Web ERP que tendrá como objetivo el alcanzar el mayor desempeño del personal del área, acelerar los procesos propios del flujo de caja y garantizar la obtención de una información veraz y actualizada con la cual se pueda tomar decisiones propias del negocio. Para que el proyecto se torne viable se ha revisado el impacto económico que este generaría, siendo nuestros resultados positivos. Se cuenta con personas que realizan esta labor en la empresa y les toma dos horas y media para realizar el flujo diario, por el momento el alcance del proyecto será para dos sedes (Perú y Ecuador), con esta implementación el ahorro de horas hombres se verá reflejado por la automatización de los procesos y el tiempo se reduciría a treinta minutos, adicional a esto el sistema nos permite centralizar el proceso en la sede central (Perú) donde sola una persona puede estar a cargo de dicho proceso reduciendo el costo de personal. Con este ahorro se estima que en pocos años la inversión sería recuperada. No solamente es positivo en la reducción de horas hombres, también impacta en la calidad de la información que se procesa y que se obtiene como resultado. Otra de las ventajas es que permite tener acceso a la información desde cualquier lugar, con solo tener acceso a internet. El sistema Web ERP seleccionado es “Ofismart”, este sistema se ajusta a las necesidades que se tiene para lograr un control eficiente del flujo de caja, genera diferentes reportes con información específica requerida en tiempo real. Este sistema es 100% Online, fácil de usar, con sistema totalmente Web y control en línea. Para una buena comprensión del trabajo hemos creído por conveniente sepáralo en cuatro capítulos, en el Primero presentamos los antecedentes, Realidad, Problemática y Formulación del Problema General y especificas así como la justificación del porque proponemos la implantación de un sistema Web ERP para el mejoramiento de flujo de caja en una empresa de rubro de pinturas; el Capitulo Segundo presentamos los marcos teóricos en los que se apoya nuestra propuesta. Por ultimo en el Capítulo Tres proponemos los objetivos que esperamos alcanzar y como resultado de ello en el Capítulo cuatro los resultados, conclusiones y recomendaciones, las cuales acompañamos para dar fe de lo que desarrollamos en la parte de las referencias y anexos. En general podemos concluir que este proyecto es viable y de muy buenos resultados para el correcto manejo del flujo de caja, proceso muy importante en toda empresa.

ABSTRACT The present project is born with the need to improve the entire process of cash flow in the 2017; Paint Company is regional with presence in other 3 countries. Its classification is industrial and belongs to the category of paints, chemicals and adhesives. The control of the cash flow process that runs in the paint company - 2017, is in charge of the Finance area, this process is carried through using the Excel program, in a file containing boxes with formula. The data which is daily updated, it’s performed manually. This job is done by an Analyst for each site. This job takes time to be completed and since its’ done manually, it is prone to contain unexpected errors that negatively impact the result of the information, for that reason this process has to be constantly reviewed which causes greater use of time for the employee. Another disadvantage of using this method is the risk of loss information, since the control is carried in a simple file that does not issue reports. This situation has already occurred, and all information has not been recovered, and there is a risk that it may recur. Given all this situation we have found an opportunity for improvement, so it is proposed as a solution the implementation of an ERP Web system that will aim to achieve the highest performance of the area staff, accelerate the processes of cash flow and ensure obtaining accurate and up to date information with which you can make business specific decisions. In order for the project to become viable, we have reviewed the economic impact that this would generate, with our positive results. There are people who carry out this work in the company and it takes them two and a half hours to make the daily flow, for the moment the scope of the project will be for two locations (Peru and Ecuador), with this implementation, Will be reflected by the automation of the processes and the time would be reduced to thirty minutes, in addition to this the system allows us to centralize the process in the central headquarters (Peru) where just one person can be in charge of this process reducing the cost of workers . With this saving it is estimated that in a few years the investment would be recovered. Not only is positive in reducing men's hours, it also impacts on the quality of the information being processed and obtained as a result. Another advantage is that it allows access to information from anywhere, just by having access to the internet. The ERP Web system selected is "Ofismart", this system is adjusted to the needs for efficient control of cash flow, generate different reports with specific information required in real time. This system is 100% Online, easy to use, with fully Web system and online control. For a good understanding of the work we have considered convenient to separate it into four chapters, in the First we present the antecedents, Reality, Problem and Formulation of the General Problem and specify as well as the justification of why we propose the implantation of an ERP Web system for the improvement of Cash flow in a paint company; The second chapter presents the theoretical framework on which our proposal is based. Finally in Chapter Three we propose the objectives that we hope to achieve and as result in Chapter Four the results, conclusions and recommendations, which we accompany to give faith of what we develop in the part of the references and annexes. In general we can conclude that this project is viable and with very good results for the correct management of cash flow, a very important process in all companies.
